Electronically Reconciling Vaccines (Updated)

Electronically Reconciling Vaccines allows the user to electronically import vaccine information into a patients chart. In this Quick Reference Guide, we will explain how to electronically reconcile vaccines using the Orders module OR the Immunization template in the EHR application.

Accessing the Orders Module

To Access the Orders Module:

  • Click the Test Tube icon at the bottom of the Patient History Panel.

Accessing the Immunization Template

To Access the Immunization Template:

  • Create an encounter for the patient
  • Click on the Template Picker and Select the Adult Immunization template.

Reconciling Immunizations

To Reconcile Immunizations in the Order Module:

  1. Select the Immunizations tab.
  2. Click the Reconcile options.

On the Adult Immunization template:

  1. Confirm the 'OK to Reconcile' message, which is based on the immunization registry's current limitations.
  2. Click the Reconcile button

Reconciliation Summary

The Reconciliation Summary displays the following information:

  • Add new item - New items to be imported into the patients chart.
  • Unchanged no action performed - matching items that will not require change.

Click the Confirm option to import the new information into the patients chart.

Patient Lookup

The Patient Lookup window automatically searches the Registry for any matching records for the patient.

  • Click Accept to confirm the patient.

IMPORTANT NOTE: If the patient is not listed in the Matching Patients window: Click the Find Patients button. (See screenshot below)

A comparison is made between the existing information in the patients chart in EHR and the Imported information from the Immunization Registry. Here is an explanation of Actions:

  • Keep/Ignore - This means that the information imported matches existing information in the patients chart.
  • Add - This means that there is no matching information in the patients chart for this record.
